The IT team at a prominent global pharmaceutical company, faced substantial issues in efficiently managing their expanding portfolio of projects. They exclusively depended on Microsoft Excel for project and portfolio management, a method that gradually proved insufficient as their project volume increased. It also affected decision-making due to the inability to gather and analyze comprehensive project data effectively. Moreover, the escalating number of IT projects, each with unique client requirements, exacerbates the challenge of managing projects individually within Excel.


They were looking for an experienced PPM tool, which can help streamline their IT project management, assist in adopting best practices, and establish a digital PPM framework which can tackle the project load efficiently.

Our Solution

Upon comprehensive analysis of client’s requirements, we seamlessly integrated Planisware Orchestra into their IT PPM framework. This involved meticulous configuration of various features tailored to their specific project management needs, encompassing customization options not limited to those explicitly mentioned below

  • Requirement traceability matrix: we implemented a requirement traceability matrix template to track requirements from inception to completion, ensuring traceability between original and derived requirements.

  • Assumption and dependency register: An assumption and dependency register template was introduced, facilitating the documentation, tracking, and prioritization of assumptions and dependencies. This register is initiated during project scope definition and continually updated during requirement collection, aligning seamlessly with client's IT PPM processes.

  • Stakeholder register: We integrated a stakeholder register to document project stakeholders and their pertinent details.

  • Communication register: To streamline project communications, a communication register template was introduced which is pre-filled with standard messages that can be customized by project managers as needed. Thus, ensuring effective communication throughout the project lifecycle.

  • Change log: This template is used to record summary level information from change requests received as a part of project, centralizing tracking and aiding in decision-making and accountability.

  • Resource matrix: The template outlines all the resources required to execute the project. It allocates each resource to a separate row, streamlining management processes and facilitating ease of oversight.

  • Defect tracker: This template will help the project managers to log a defect found during the quality reviews.
In addition to these foundational templates, we incorporated supplementary features such as procurement management template which contains all the procurement items required to execute the project, risk and issues register where identified potential risks that can impact the project are listed, and budget document which contains costs planned for the project, strengthening client’s project and portfolio management capabilities.

Comprehensive training on Planisware Orchestra was provided to equip client’s team with the necessary skills to leverage the platform optimally, ensuring maximum benefit realization.


Along with streamlining their IT PPM processes, our team also assisted in building comprehensive reports (via Planisware Orchestra) such as project status reports, portfolio health, and KPI reports.
