Business case

The client was a pharma company who needed an overhaul of its resource management. The project teams within the organization needed data-driven resource management guidance for enhanced decision-making. The organization was at the preliminary stage of its resource management journey and needed formalized processes and cohesive structure for its resource estimation analysis, and data collection efforts.

The hiring needs of the organization were not within the budgetary provisions and project managers were not able to get visibility of project risks while specific projects were underway. With apparent resource constraints, teams did not have long term views of project processes and their goals.

Portfolio managers took decisions based on their gut instincts which made the project projections erroneous. They also wanted a complete visibility of all the entire resource management efforts within the company. While short-term resource management needs could be possible with such an approach, a long-term strategic plan was almost impossible without a specific resource management plan.

Our Solution

Our PPM solution experts streamlined the resource management processes and ensured that the client had complete visibility of its Book of Work or portfolio demands. The i2e team set up PPM templates for project management harmonization ensuring decisions taken on resource allocation were future-proof and well within the resource management processes.

Multi-level project planning was introduced, which made each function within the organization more empowered and transparent. This way, PMOs could view project statuses more easily and get full visibility of risks.

Integrated project plans were linked to functional project plans for better alignment and visibility without driving data one on top of the other. Insights could be derived from multiple functions across the organization in key work packages.

Project templates were created with a complete review of the resource management needs in the organization. All resource planning efforts for individual projects across the board were tracked for visibility of bottlenecks and challenges.

Challenges overcome

  • Coordinating with stake holders and managing change management to adopt new tools and processes.
  • Placeholder data was used during the initial setup to keep the project on track while the customer worked on improvements.
  • Before implementation of advanced features, i2e implemented foundational processes at the outset.
